# Software Consulting vs Building In-House: What a Small Business Actually Needs

When existing tools no longer support a documented process, a small business may compare off-the-shelf software, an internal build, or outside implementation help. The choice should follow workflow, ownership, support, and total-cost evidence rather than a generic preference for custom software.

## The three real options

- **Buy off-the-shelf SaaS.** Consider it when a supported tool fits the required process and its subscription, integration, export, and support terms are acceptable.
- **Build in-house.** Consider it when the capability is strategically differentiating and the business can own product decisions, engineering, security, maintenance, and support.
- **Hire outside implementation help.** Consider it when the outcome and acceptance checks are clear but the team lacks temporary integration or delivery capacity.

An outside implementer should map the selected process, expose dependencies and exclusions, define a working milestone, document the result, and make the intended ownership model clear. Evaluate dependency over an agreed period rather than assuming it will decrease automatically.

- Long lock-in contracts before anything is delivered.
- A proposal with no testable milestone, acceptance check, or review date.
